Can you believe it’s that time of year again? December is here and the pressure is on to organise and get people to your event!
If you’ve ever organised an event before, you know it can be quite time-consuming. There’s finding a venue within budget that the majority of the team will enjoy, getting a date that is available, organising food/drinks/entertainment, and lastly communicating it to the team and managing their RSVPs.
If you’re running out of time here are some time-saving shortcuts to help you plan your next cracking event for the festive season.
1. Start with a plan.
Before doing anything, draw a simple map or list of what you want to automate and when things are going to be sent. Take a couple of minutes to get this right as it will save you a lot of time later on.
Here’s an example of how you might plan out your Christmas party campaign.
2. Create your messages.
Now you’re ready to create the emails, SMS messages, web forms and any other elements that you’ve identified in your process.
3. Set up the automation.
The final step is to set up the automation. For our Christmas party example, the automation steps look like this.
3a. Create the Autoresponder for RSVPs.
Use the Autoresponder features in Vision6 to automate your emails and RSVPs.
Automation is something we’ve written about before and it’s a great way to save time and improve the timeliness of messages to your customers. But it’s probably not something you’ve thought about with respect to your internal communications such as your Christmas party.
Here’s the steps you can use to create an automated campaign in Vision6.
To do this, go to your Christmas Party RSVP List and click View in the Autoresponder column.
Your autoresponder settings will now popup and it’s just a matter of following the prompts to tell the system what you want it to do.
In our example, we want to send the RSVP Confirmation email immediately each time someone submits the RSVP form.
3b. Schedule your Reminder SMS to be sent at a specific time in the future.
To schedule the delivery of your Reminder SMS to everyone that RSVP’d, simply go through the steps of sending a message as normal and tick Send Later in the Scheduling tab and choose the time you want the message sent.
3c. Send the Invitation Email.
The final step is to send your Invitation Email when you are ready (or schedule it ahead of time depending on how organised you are).
